Privacy Policy

This Privacy Policy describes how Kim Lucht Coaching collects, uses, stores, and protects information when you use SessionImprint. By using SessionImprint, you agree to the practices described in this policy. SessionImprint is currently available to users located in the United States only.
1. Information We Collect
We collect the following types of information:
- Account information: Your name, email address, and password when you create an account.
- Profile and branding information: Display name, logo, accent colors, tagline, and signature that you provide to personalize your account.
- Session content: Transcripts and related materials you upload for processing. You are responsible for ensuring this content does not include personally identifiable client information or protected health information.
- Client records: Names and email addresses of clients you add to the platform for the purpose of delivering session summaries.
- Billing information: Payment details are handled by our third-party payment processors. We do not store your full payment card information.
- Usage data: Information about how you use the platform, used to improve the service and platform performance.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To provide and operate the SessionImprint platform.
- To process session transcripts through AI and generate session summaries.
- To deliver session summaries to your clients via email on your behalf.
- To manage your account, subscription, and billing.
- To send you platform-related communications such as receipts, updates, and service notices.
- To improve and develop the platform based on usage patterns.
Uploaded transcript content is transmitted to Google (via the Lovable AI Gateway, which routes requests through Google Vertex AI) solely for the purpose of generating session summaries and insights. Per Google's Vertex AI terms, customer prompts and responses are not used to train or improve Google's foundation models. Lovable does not train models on gateway traffic.
3. What We Do Not Do With Your Data
We are committed to protecting your data and your clients' privacy. We do not:
- Use your uploaded transcripts or generated summaries to train AI models.
- Sell your data to third parties.
- Share your session content with any party other than those required to operate the platform.
- Use your data for advertising or marketing purposes beyond communications about SessionImprint itself.
4. AI-Generated Content Disclaimer
SessionImprint uses AI-generated outputs which may contain inaccuracies, omissions, or unintended interpretations. Coaches are solely responsible for reviewing, editing, and approving all generated content before sharing it with clients or using it in their professional work.
SessionImprint provides assistive technology only and does not provide legal, medical, mental health, financial, or clinical advice.
5. Third-Party Service Providers
We use trusted third-party providers to operate the platform. These providers may process your data only as necessary to provide their services:
- Lovable: Application hosting and AI gateway. Session transcripts are routed through the Lovable AI Gateway to Google Vertex AI for processing. Lovable does not train models on your data. See Lovable's Privacy Policy.
- Google (Vertex AI): AI processing of session transcripts to generate summaries, accessed via the Lovable AI Gateway. Customer data is not used to train Google's foundation models. See Google's Vertex AI Data Governance.
- Supabase: Database and authentication infrastructure.
- Resend: Email delivery of session summaries to your clients.
- Stripe and ThriveCart: Payment processing and subscription management.
- MailerLite: Email marketing communications for waitlist and platform updates.
6. Data Storage and Security
Your data is stored on servers located in the United States. We implement reasonable technical and organizational measures to protect your data, including:
- Row-level security policies ensuring each coach can only access their own data.
- Encrypted data transmission via HTTPS.
- Find and replace tool for removing client names and other identifiable information from transcripts before AI processing.
- Automatic transcript deletion: raw transcripts from previous sessions are automatically removed when a new session is analyzed (coaches can disable this in Settings).
- Manual transcript deletion: coaches can delete any raw transcript at any time. Session insights are preserved even after transcript deletion.
- Restricted internal access to platform data.
While we implement reasonable safeguards, no method of electronic storage or transmission over the internet is completely secure. We cannot guarantee absolute security.
7. Data Retention
We retain your account data and session insights for as long as your account is active. Raw session transcripts are subject to automatic deletion: when a new session is analyzed for a client, the raw transcript from the previous session is automatically removed. Coaches can also manually delete any raw transcript at any time. Session insights and generated summaries are preserved even after transcript deletion.
If you cancel your subscription or request account deletion, we will delete your data within 30 days, except where we are required to retain it for legal or billing purposes. You may request deletion of your data at any time by contacting us at support@sessionimprint.com.
8. Your Rights
As a user of SessionImprint, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data.
- Opt out of non-essential communications at any time.
To exercise any of these rights, please contact us at support@sessionimprint.com. We will respond to requests within a reasonable timeframe.
9. Coach Responsibilities Regarding Client Data
As a coach using SessionImprint, you act as the data controller for your clients' information. You are responsible for:
- Obtaining appropriate consent from your clients before recording, transcribing, or uploading session content.
- Removing or replacing personally identifiable information from transcripts before processing. SessionImprint provides a find and replace tool to assist with this.
- Ensuring your use of the platform complies with your professional obligations and any applicable privacy laws.
- Reviewing and approving all AI-generated summaries before delivering them to clients.
SessionImprint is not intended for the storage or processing of protected health information (PHI) under HIPAA.
10. Cookies and Tracking
SessionImprint uses essential cookies and local storage to maintain your login session and platform preferences. We do not use third-party advertising cookies or behavioral tracking technologies. Our landing pages and website may use basic analytics tools to understand visitor traffic patterns and improve the platform experience.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If material changes are made, we will notify users through email or an in-app notice. Continued use of SessionImprint after changes become effective constitutes your acceptance of the updated policy.
